Thank you for the scholarship award(s) that you or your organization will be generously providing to one or more SDSU students! Awards like yours are invaluable to our students and help to further promote the importance of higher education within the community.
To help us process and deliver the funds to the student(s) as early as possible, please follow the instructions below.
Notifying SDSU of Scholarship Awards
Your notification may precede the funds so that we may coordinate the award with the student’s financial aid package, providing maximum benefit to the student. (Refer to “How the Scholarship Affects a Student’s Financial Aid Award” later in this section.)
As you make your award decisions, please inform the Office of Financial Aid and Scholarships (OFAS) as soon as possible of the—
- name of each student,
- student’s RedID (SDSU identification number which you can obtain from the student),
- scholarship amount, and the
- semester or academic year for which the scholarship is intended.
When to Mail the Check
We prefer to receive all the scholarship funds for the entire academic year in July. If this is not possible, please send the funds during—
- July – in time for the fall semester
- December – in time for the spring semester
Mail your check along with a cover letter to:

The Check
Make the check out to San Diego State University. Checks made payable to SDSU and the student delays processing while we obtain the required endorsement from the student.
Include on the check (in the "memo" area) and in your cover letter:
- the student’s name and
- RedID (SDSU identification number which you can obtain from the student).
It is for the student’s benefit that we receive the funds as early as possible before classes begin (ideally for the entire academic year, or in July for the fall semester and December for the spring semester). Funds received after classes begin can result in an adjustment to the student’s financial aid package and a delay in receiving the funds when needed.
The Cover Letter
In the cover letter, please indicate the following:
- student’s name,
- student’s RedID (SDSU identification number which you can obtain from the student),
- donor identity,
- contact information for an individual we may contact in the event questions arise,
- specify any conditions or requirements for disbursing the funds such as grade point average, enrollment status, and the
- semester or academic year for which the scholarship is intended. Specify if the funds are for the fall or spring semester or if the amount is to be divided between the fall and spring semesters.

Conditions for Disbursing Scholarship Funds
How funds will be disbursed
- Unless you specify otherwise in your cover letter, a scholarship greater than $500 will be split evenly between the fall and spring semesters.
- Scholarships of $500 or less will be disbursed in one amount for the semester you specify.
If you require the student to be enrolled full time or have a specific grade point average, include these conditions in your cover letter. Usually, we release the funds once the student enrolls, regardless of full time status.
For the student’s benefit, please allow the scholarship funds to be used for any federally and state recognized cost associated with the student’s education.
- If you stipulate that the scholarship is limited to “tuition, fees and books,” the scholarship will be used toward these costs only.
- However, if the student receives multiple scholarships stating the same limitation, or grants intended to pay fees, all or a portion of the student’s scholarship may be returned to you if those costs have already been covered.

How the Check is Processed
When the student is enrolled and has met all requirements as stipulated in your cover letter, the scholarship funds will be released.
Conforming to federal regulations pertaining to disbursement of financial aid, including scholarships, disbursement action is initiated approximately one week before classes begin.
- Student Account Services will use the funds to pay registration fees or on-campus housing costs and release any balance to the student.
- Student Account Services will deposit funds in the student’s designated bank account.

How the Scholarship Affects a Student's Financial Aid Award
As part of San Diego State University’s participation in providing federal and state financial aid, federal law requires that the Office of Financial Aid and Scholarships (OFAS) consider all resources when determining eligibility and awarding financial aid.
By federal law, a scholarship, in combination with the student’s calculated expected family contribution (EFC), and other financial aid, cannot exceed the student’s cost of attendance (as determined by the OFAS). Therefore, a scholarship may replace other financial aid, especially student and parent loan eligibility and, in some cases, grants.
As needed, the OFAS will adjust the student's financial aid. With the permission of the donor, the scholarship may be adjusted to prevent the cancellation or reduction of a federal or state grant.
Cost of Attendance
As recognized by the federal and state governments, the components of a student’s cost of attendance include:
- tuition and registration fees
- books and supplies
- food and housing
- transportation
- miscellaneous personal expenses
